Community Programs Activity Pickup Policy


Community Programs runs many programs and activities including, but not limited to: after school or daytime vacation/PLD camps, sports teams/seasons, recurring music/art/enrichment series, single-occurrence events, and more.

A large majority of our programs are run by parent volunteers and/or contracted instructors with many other obligations and commitments in their lives. We are extremely grateful for their leadership and support of our programs, and we all need to be respectful of their time. As such, we have a policy detailing the pickup procedure for all of our programs:

-Participants must be picked up immediately at the scheduled end of each program or activity. These times can be found on each registration page on our website.

-In the event that the participant's parent/guardian cannot pickup at the scheduled end time, communication with the coach or instructor is required as soon as realistically possible.

-We understand that circumstances sometimes prevent this communication from happening in a safe and timely manner. However, it is the responsibility of the participant's parent/guardian to ensure that the instructor knows how to handle an unusual pickup situation. If the participants parent/guardian arranges for another person to pick up their participant, this information must be delivered in writing (phone call not acceptable; email preferred <cp@rsu5.org>).

-Should a late pickup be required, a "Late Pickup Fee" will be applied to your account as described below. The instructor may choose on a case-by-case basis to issue a warning to the family instead of applying a late fee to their account. In either situation, a CP staff member will reach out to discuss how to prevent it from happening again. 


"Late Pickup Fee" Details:

• For every part of 15 minutes that a staff member or volunteer must wait for a minor to be picked up, the fee will be $20. 
• Late Pickup Fees must be paid before you will be allowed to register for any future programs.

Example 1: Program ends at 4pm, parent does not communicate and picks up child at 4:14pm. A $20 fee may be applied in this situation. 
Example 2: Program ends at 4pm, parent does not communicate and picks up child at 4:16pm. A $40 fee may be applied in this situation.
